Band practice scheduling is constrained by the rehearsal room as much as by the members: rooms are paid for by the hour and booked in advance, so a session that half the band misses still costs full price. Poll specific evening slots two or three weeks ahead, treat certain members as required rather than counted, and book once the answers are in.
Some noes count more than others
This is not a headcount. A session without the drummer is a different and mostly pointless evening, and a room booked for it is money gone.
So read the grid by name. Decide in advance who is required and who is optional, say so in the description, and pick the date the required people cleared even if another has more yeses.
Running it
- Offer evening slots with times, since the room is booked by the hour.
- Poll two or three weeks out. Rooms go, and so do people's evenings.
- Post several sessions at once rather than asking every fortnight.
- Say what you are working on. A session with a purpose gets a better turnout than "practice".
- Use comments for the gear, so nobody arrives without an amp again.
Before a gig
Poll the two weeks before separately and at higher frequency. Availability changes fast in that window, and it is the one period where a session that half the band misses is genuinely worse than not rehearsing at all.
